Subject: Notice of Cancellation of PSWC 2020


Dear Students and Faculty,


CPP ASCE is committed to protecting the health and safety of our members and event participants. In response to the developing situation of the coronavirus (COVID-19), we have closely monitored the situation with the University, the CSU, and Society-Level ASCE along with state and federal officials. Under the current direction and instruction from campus administration at Cal Poly Pomona, the CSU, and Society-Level ASCE, there are several immediate actions we must take for PSWC 2020.


It is with deep regret that we must inform you that this year's PSWC hosted at California State University, Fullerton (CSUF) from April 1-4, 2020 has been canceled. This comes from a recent announcement made by Society-Level ASCE that “all ASCE Student Conferences not completed prior to March 15, 2020 have been canceled. All Society-wide final competitions have also been canceled. ”


Society-Level ASCE Response

In their most recent communication, the Society-Level ASCE made this decision as “even plans to simplify the formats for virtual competition would be met with many obstacles for Students.”


College of Engineering Directives

In a recent communication from Dean Rencis, the College of Engineering has declared “all engineering labs, including computer labs, will be temporarily off limits to all students through the end of the semester. This applies to student competition teams as well. Student card swipe access will be removed temporarily for all engineering labs until further notice.”


Notice to Suspend Projects

Under current directives from the College of Engineering and Society-Level ASCE, effective immediately, we ask that you suspend and terminate all work on projects related to PSWC 2020 until further notice.


CSUF Response

While we have not received an official cancellation from CSUF, under this directive from Society-Level ASCE, it is clear that all regional events will be canceled. We forward all pertinent information to you on behalf of CSUF once it becomes available.


Student Reimbursements

We are currently waiting on CSUF for their plans on student reimbursements. We have taken action with University for plans to distribute a reimbursement, in the event CSUF is unable to provide one. While we have every intention to reimburse students, please understand that due to the nature of the situation, this process will take some time. Stay tuned for additional information regarding processing reimbursements.

We understand that this comes at a time especially important to our students as you were in final preparations of your projects. We understand that these decisions impact our teams and student members in many ways, and want to especially acknowledge our graduating seniors, who along with other team members are greatly disappointed by this decision.


We recognize the many hours, hard work, and devotion that have gone into your projects, and we are committed to finding ways to recognize and showcase your achievements in the months ahead. You and your team are very important to the mission and value of our department, its students and this campus.

Subject: Notice of Alternative Attendance at PSWC 2020


Dear Students and Faculty,


In response to the developing situation of the coronavirus (COVID-19), we shall continue to monitor the situation with the University and the California State University (CSU) along with state and federal officials. Under the current direction and instruction from both campus administration at Cal Poly Pomona and the CSU, there are several immediate actions we must take for our spring semester events.


After recent notification from Cal State University Fullerton (CSUF) they have decided to move PSWC 2020 to a virtual method of competing. Please understand that this means PSWC 2020 is still happening! This comes from the University and CSU mandate to suspend all non-essential travel and cancel all events with more than 100 participants, through May 31, 2020.


We understand that this comes at a time especially important to our students and events that make our student chapter successful. We sincerely apologize in advance for the additional difficulties and stress this may cause. You and your team are very important to the mission and value of our students, faculty, department and campus.


Plans for Competing

While we don’t know CSUF full plans for implementing a virtual conference we must take proactive steps for what to expect for PSWC. We forward all information pertinent to your competitions once received by CSUF. As of now, all technical events will be held in a virtual manner, while all miscellaneous and sports events will be canceled. Below is what we plan to expect for competition team events. We are still waiting on official plans from CSUF but please plan for the following.

*Final Product: While we have heard nothing official from CSUF yet, a final product should still be completed as expected. The final product may include the submission of photos and/or videos showing the final product completed and/or working.


Student Reimbursements

We are currently in conversations with CSUF for their plans on student reimbursements. Additionally, we have taken action with University Advancement for plans to distribute a reimbursement, in the event CSUF is unable to provide one. While we have every intention of making sure students are able to receive a reimbursement, please understand that due to the nature of the situation this process will take some time.


Questions From Students

We understand that the uncertainty for future events can be distressing and intimidating; however, we ask for your continued patience through this rapidly developing situation. We anticipate that many of you will have questions that we may not have the answers to yet. We would like to assure you we are currently working on plans for all events and that they will be updated as soon as possible. We have launched a website page (cppasce.org/spring-events) that you can visit for answers to all your questions.


At this time of heightened anxiety and concern, we ask for your patience in addressing unanswered questions, as we are sure that there will be many. We are working diligently to assure that the most essential aspects of our student chapter are preserved during this development.
