Subject: CE/CEM Club Resources for 2020 Spring Events
Dear Club Officers and Faculty Advisors,
In response to the developing situation of the coronavirus (COVID-19), I want to provide you with some updates and resources available for clubs regarding their spring semester events. Under the current direction and instruction from both campus administration at Cal Poly Pomona and the CSU, there are several immediate actions we must take for our spring semester events.
University and CSU Directives
Effective immediately, Cal Poly Pomona and our auxiliary organizations will suspend all international and non-essential domestic travel from now through May 31, 2020
March 13, through March 17, 2020: Campus is open but pausing all in-person classes
Cal Poly Pomona is promoting social distancing by canceling all events and gatherings with more than 100 participants, effective March 12, 2020, through May 31, 2020
This decision covers all events and gatherings, including, but not limited to: banquets, luncheons, receptions, dinner galas
It is important to emphasize that the campus will not be closed. Campus offices, buildings, and essential student services will remain open, including student housing and dining facilities
Official Cal Poly Pomona news releases can be found on the Health Alert website
OSLCC and ASI Response
All events and non-essential gatherings hosted by CPP Registered Organizations both on or off- campus with any number of participants and are to be canceled through May 31, 2020.
You will receive a formal cancellation from 25 Live shortly.
Check ASI FAQs regarding Travel Suspension, Electronic Form Submission and Budget Request
Club Events and Programs
Reassure all stakeholders that you are currently working on all events and will update them as soon as possible. All of your club events and programs should be given one of the following classifications:
Alternative Host Method: Will be attended/hosted using conference calls
Paused/Undetermined: Waiting to review or additional action by the University
Postponed: Actively working to reschedule to next most convenient date
Cancelled: Event/Program cancelled due to being deemed “Non-Essential Gathering” by the CSU
CPP ASCE Student Chapter Events
We are actively working to assess all events and determine if they need to be postponed, cancelled, undetermined or planned to be hosted/attended alternatively. We understand the ASCE helps host many department events that impact all students/faculty and that this comes at a time especially important to our success. Please refer to events (cppasce.org/spring-events) for the most up-to-date status of each event.
Club Elections, Appointments and Transitions
I understand that this is an important transition period for clubs working to get new boards elected, appointed and/or transitioned. ASCE will conduct elections via Google Forms and verify members using our membership database. Interviews for appointed positions via conference calls using Zoom. You can follow our format of conducting elections, interviews and transitions at cppasce.org/officer-application.
At this time of heightened anxiety and concern, we ask for your patience in addressing unanswered questions, as we are sure that there will be many. We are working diligently to assure that the most essential aspects of our department are preserved during this rapidly developing situation.
Thank you for your continued patience as we work collectively to keep our campus and our community safe and healthy. If there are any questions or you need additional assistance, please feel free to contact me.
